Rehearsal & Event Support Specialist

Reports To Executive Director

The Rehearsal & Event Support Specialist serves as the primary on-site liaison during Pacific Youth Choir's Sunday rehearsals and special events, ensuring smooth operations and positive experiences for students, families, and artistic staff. This role focuses on relationship-building, operational support, and creating a welcoming environment that reflects PYC's commitment to excellence and community.

Working closely with our conducting team, the Specialist manages the logistical and interpersonal aspects of our rehearsal and performance operations, serving as the key point of contact for families and providing essential support that allows our artistic staff to focus on musical instruction.

Essential Responsibilities

Sunday Rehearsal Operations

  • Serve as primary staff presence during all Sunday rehearsals (approximately 32 weeks per year)
  • Coordinate logistics between conductors, students, and families during rehearsal sessions
  • Manage on-site attendance tracking and communicate with families regarding absences or concerns
  • Lead rehearsal volunteers, ensuring hospitality and safety standards are met
  • Facilitate smooth transitions between choir levels and rehearsal spaces
  • Support conductors with materials distribution and basic setup as needed
  • Handle immediate operational issues and serve as first point of contact for emergencies

Student & Family Relations

  • Provide welcoming, supportive presence for students and families during all on-site activities
  • Address questions, concerns, and requests from families during rehearsal times
  • Support new families in understanding rehearsal procedures and PYC culture
  • Communicate updates and information to families in-person as directed by leadership
  • Foster positive relationships that reflect PYC's inclusive, caring community values

Concert & Special Event Support

  • Provide extended coordination during concert days including setup and closing assistance
  • Support logistics for special events including collaborations with Oregon Symphony and guest artists
  • Assist with on-site family coordination and communication during high-activity events
  • Support annual gala and other fundraising events as scheduled

Administrative Support

  • Maintain accurate attendance and participation records
  • Provide input on operational improvements based on on-site observations

Desired Qualifications

Required Qualifications

  • Child Safety: Clear background check and commitment to child protection policies
  • Experience with Youth: Previous experience working with children and teenagers in educational, musical, or community settings
  • Communication: Excellent interpersonal skills with ability to work effectively with children, parents, and professional musicians
  • Reliability: Strong dependability for consistent Sunday commitment during rehearsal season
  • Organization: Ability to manage multiple tasks and maintain calm presence in active environment

Preferred Qualifications

  • Previous experience in music education, youth choir programs, or performing arts organizations
  • Understanding of diverse communities

Schedule & Working Conditions

Primary Commitment

Sunday Rehearsals: September through May (approximately 32 weeks)

Typical Schedule: 1:30-8:00 PM (6.5 hours including prep and wrap-up)

Concert Sundays: Extended hours for performance days (approx. 8 hours)

Additional Events

Special Concerts: 3-5 non-Sunday events annually (Convergence collaboration, Annual Gala)

Oregon Symphony Collaborations: 2-4 additional rehearsal/performance days

Summer Commitment: Minimal hours, primarily audition support as needed

Annual Hour Estimate: 250-280 hours

Work Environment

Primary Location: Trinity Episcopal Cathedral during Sunday operations

Additional Venues: Occasional work at other Portland-area venues for special events

Environment: Fast-paced environment with students ages 6-18
